The Complete Checklist for a Great Resume

A great resume is clear, concise, tailored, achievement-focused, and ATS-friendly. It should pass automated systems while quickly grabbing a recruiter’s attention in 6–10 seconds.

 


1. Overall Structure & Format

  • Keep your resume to one page if possible, or a maximum of two pages if you have 10+ years of highly relevant experience. Focus on relevance rather than including everything.
  • Use a reverse-chronological format (most recent experience first), which is the standard. A hybrid format can work if you are changing careers.
  • Save your file as a PDF (text-based) or .docx. Avoid designs with tables or columns, as they can break ATS systems.
  • Choose a professional, readable font such as Arial, Calibri, Garamond, or Times New Roman, sized between 10–12 pt. Maintain consistency throughout.
  • Use margins between 0.5–1 inch and include enough white space for readability. Keep bullet points aligned and formatting consistent.
  • Stick to a clean, single-column layout with minimal use of bold or italics. Avoid photos, colors, or graphics unless you are in a creative field.
  • For ATS optimization, use standard section headings like “Work Experience” and “Skills.” Spell out acronyms initially and avoid putting contact details in headers or footers.

2. Contact Information (Header)

The following should be contained in the contact information:
  • Your full name at the top in the largest and boldest text.
  • Your phone number and a professional email address .
  • Add your LinkedIn profile (customized URL) and your location (city/state). Include a portfolio or website only if it’s relevant.
  • There is no need to include your full address. Ensure the information is easy to read and parse.

 

3. Professional Summary or Headline

Write a short summary of 3–5 lines or a strong headline at the top.
  • Tailor it to the job by highlighting your experience, key strengths, and value proposition. Focus on what you offer rather than what you want.
  • Use keywords from the job description and avoid generic objectives unless you are a recent graduate.

 

4. Skills Section

  • Place your skills near the top, especially if applying for roles that prioritize specific abilities.
  • List 8–15 relevant skills, including both technical (e.g., Python, SQL) and soft skills (e.g., leadership, adaptability).
  • Tailor this section to each job posting. You can group skills into categories like Technical Skills or Languages.
  • Include proficiency levels only if they are strong and relevant.

 

5. Professional Experience

List your work experience in reverse chronological order.
  • For each role, include your:

– Job title,
– Company,
– Location, and
– Dates in a consistent format.

  • Use 3–6 bullet points per role (more for recent or highly relevant roles). Start each bullet with a strong action verb like “Led,” “Optimized,” or “Increased.”
  • Focus on achievements rather than duties. Quantify results whenever possible, such as “Increased sales by 35%.”
  • A useful structure is: Action + Task + Result.
  • Keep the content relevant and remove or shorten older, less relevant roles.

 

6. Education

  • Include your degree, institution, and graduation year (or expected date).
  • Mention your GPA only if it is above 3.5 and recent. Add relevant coursework, honors, or thesis details if applicable.
  • Place this section after experience unless you are a recent graduate.

 

7. Additional / Optional Sections

You can include:

  • Certifications or licenses if they are relevant, along with dates and issuing organizations.
  • Projects are useful for technical roles, portfolios, or career changes.
  • Volunteer work or leadership experience can demonstrate transferable skills.
  • Publications or awards can be added if they are impressive and relevant.
  • Avoid including references, photos, age, marital status, or salary history.

 

8. Content & Writing Best Practices

  • Tailor your resume for each application by aligning it with the job description.
  • Focus on achievements rather than responsibilities, and include measurable results whenever possible.
  • Keep bullet points concise (1–2 lines) and use consistent verb tense (past for previous roles, present for current roles).
  • Ensure there are no spelling or grammar errors. Proofread multiple times and consider getting a second opinion.
  • Maintain consistency in formatting, dates, punctuation, and capitalization.

 

9. Final Review Checklist (Before Submitting)

  • Make sure your resume is easy to scan in 6–10 seconds, with key information standing out clearly.
  • Confirm that it is tailored to the role and includes relevant keywords.
  • Ensure achievements are quantified and the format is ATS-friendly.
  • Double-check that the document is professional, error-free, and saved with a clear filename (e.g., Firstname_Lastname_Resume.pdf).
  • Common Mistakes to Avoid
    Avoid using a generic, one-size-fits-all resume.
  • Don’t list responsibilities without showing impact.
  • Stay away from overly fancy designs or poor formatting.
  • Remove irrelevant details and avoid including too much information.
  • Use a professional email address and accurate contact details.
  • Never lie or exaggerate your experience.
